Role Summary

This position is responsible to ensure and maintain a high level of support in all activities of the HR Systems departments, including assisting with internal projects, project intake and quotation processes, demand management processes, invoicing, billing and reporting.

Key Responsibilities

  • Provide global support to all HR Systems managers as required
  • Manage the intake of new project requests, and support the creation of quotations using S4HANA
  • Maintain documentation, including contracts
  • Handle WBS elements in S4HANA including staffing, invoices, purchase orders, purchase requisition and staffing
  • Assist in the coordination of external consultants, and support their User Account creation
  • Update and monitor the information in PPMPro
  • Support the invoicing and monthly billing of HR Systems services
  • Handling and monitoring the Demand Management Process including assignment and tracking of responsible people
  • Assist in validation and payment processing of external consultant invoices
  • Ensure time tracking is done by the team according to Magna Global IT standards
  • Schedule cross-functional meetings to facilitate collaboration
  • Prepare Dashboards and Reports, and monitor the results as required
  • Organize, attend, and participate in regular scheduled cadence and governance meetings
  • Document minutes and follow up on important actions and decisions from meetings
  • Provide administrative support as needed
  • Coordinate training material and translations updates
  • Coordinates training for team
  • Assist with travel and expense management
  • Leads/assists with special projects
  • Produces complex reports and presentations
  • Manages Workday Community access requests and Workday training requests

Knowledge and Education

  • Completion of university or college diploma/certificate

Work Experience

  • 3 to less than 5 years of work-related experience
