Mission of the Position:

 

The Administrative Coordinator will work closey with the Electrification team in North America providing administrative support to the Director of Electrification, North America and/or others as designated. The coordinator will direct and manage the daily administrative activities for the Director and eDrive department in North America. Provide daily support through managing the schedule/calendar, preparation of reports, presentations, documents, and all other administrative support activities. Work to improve and/or streamline reports or information coming into and out of the department for the team.

Key Responsibilities:

 

  • Administer and manage department databases, SAP folders, reporting templates, systems and worksheets including but not limited to Microsoft Excel, Word, Outlook and PowerPoint, SharePoint, Visio, Concur, and SAP easyDocs.  ensuring consistency in all documentation for both the local department and global peer departments. Create new or modify existing reports to streamline and/or improve information.
  • Proactively manage and maintain the Director’s schedule/calendar, prioritizing meeting importance/urgency.
  • Help coordinate customer meetings, financial reviews, and weekly team/staff meetings. 
  • Assist in analyzing information into meaningful performance and progress indicators. 
  • Prepare reports, agendas, minute minutes, and other various documents.
  • Organize, facilitate, and moderate various meetings. Ensure reports are complete and on time while tracking open action items. Maintain and publish reports to project teams.
  • Assist in scheduling travel arrangements for team and handle catering for meetings as needed.
  • Maintain department vacation schedules/files.
  • Assist in planning and scheduling team events and workshops for the department.
  • Support the administrative needs of other departments as necessary or during planned vacations/absences for other department administrative staff.

Requirements and Qualifications:

 

  • Experience preparing reports, presentations, and materials for distribution required. 
  • Strong knowledge of Microsoft Word, Excel, Outlook, and PowerPoint, SharePoint, Visio, Concur, and SAP easyDocs. Experience utilizing Office 365 and its suite of tools preferred.
  • Ability to communicate with a high degree of professionalism to colleagues in all levels of the company, outside vendors, and customers both verbally and through written communication required.
  • Demonstrated organizational and time management skills with the ability to multitask.  
  • Detail oriented with close attention to quality of work. 
  • Ability to juggle multiple priorities and tasks and work in a very fast paced environment. 
  • Associates degree preferred; experience in lieu of degree may be acceptable. 
  • 3 years of experience as an administrative assistant or similar support/liaison role required. 
     

Work Environment:

 

No travel required. 

 

While working in this environment, the employee will be exposed to machinery, moving equipment and material, moderate noise, airborne particles, fumes and various levels of temperature created by manufacturing processes.
