Role Summary

Successfully plan, implement, and maintain administrative processes, communications, and procedures.

Under the direction of the Human Resources Manager, perform HR related activities in some or all the following functional areas:  employee relations, benefits, compensation, performance management, immigration, recruiting/student programs, onboarding & offboarding, and training. Ensures prompt, efficient, and courteous response to all employee relations issues in accordance with Magna Employee’s Charter.

Key Responsibilities

  • Field employee inquiries timely and escalated when applicable
  • Maintain communication boards and intranet with current information
  • Assist with employee meeting coordination and facilitation
  • Communicate, interpret, and uphold company policies and procedures
  • Maintain employee files and records in electronic and paper form
  • Update HRIS as applicable
  • Support department during audits
  • Assist department with annual processes (example: compensation review, goal setting, performance review, etc.)
  • Complete activities listed on internal process checklists (example: onboarding/offboarding, immigration, etc.)
  • Promote and assist with human resource programs
  • Assist in development and implementation of process improvements for the department
  • Gather and analyze human resource related data (example: time to hire, turnover rates, department costs, etc.)
  • Support Magna’s Employee’s Charter and Open-Door Process through fairness and consistency
  • Support the divisional business strategy (vision, mission, goals, etc.) and established KPI’s
  • Act with honesty, integrity, and make ethical business choices in accordance with Magna’s Compliance Policies and Procedures.


Functional Duties:

Benefits and Wellness Programs

  • Process leaves of absence and/or disability claims.
  • Maintain accurate benefits record (i.e. database and files); Health, Retirement Savings, Life Insurance, Disability, COBRA and FMLA
  • Coordinate open enrollment events and materials
  • Support and communicate wellness initiatives to employees

Immigration/Global Mobility

  • Manage assigned immigration cases
  • Interface with immigration attorneys to process work visas and green cards
  • Update I-9 forms as applicable
  • Support domestic and/or international short and long-term assignments
  • Work with Magna's Global Mobility team to request cost projects for international and domestic assignments

Recruitment/Student Programs

  • Facilitate manpower meetings to assess potential staffing needs, as applicable
  • Post open positions internally, externally, or with contract houses, based on approved personnel requisitions
  • Screen resumes for required skills and qualifications and distribute qualified resumes to hiring managers
  • Coordinate and participate in interviews
  • Prepare offer letters; order background checks and drug screens
  • Manage relationships and agreements with preferred contract houses
  • Assist with extending purchase orders for active contractors
  • Coordinate new hire orientations and facilitate onboarding
  • Attend and facilitate career fairs
  • Manage student programs; coordinate co-op and intern rotations; administer program requirements


  • Audit new hire paperwork and provide finance with required paperwork to enter new hire into payroll
  • Use E-verify and complete I-9 forms
  • Create employee files
  • Assist with exit interviews
  • Assist with determining severance and vacation payouts for departing employees
  • Respond to unemployment claims and track as they are received

Training and Development

  • Coordinate and communicate training opportunities
  • Assist employees with training registration
  • Maintain training records
  • Maintain the training requirement matrix
  • Counsel managers and employees on career development activities offered through the company

Key Qualifications/Requirements

  • Able to prioritize multiple projects and work under pressure while meeting strict deadlines.
  • Detail-oriented and able to work well both independently and in a team environment.
  • Maintain discretion in dealing with confidential and sensitive information. Capable of handling confidential information with the highest level of integrity and ethics.
  • Able to take initiative, be flexible, be self-directed, be motivated, and interact with employees at all levels.
  • Communicate clearly and effectively, in speech and writing, with employees, managers, contractors, and clients.
