QUALIFICATIONS
Education, Experience, Knowledge, Skills, Abilities and Other Attributes

- Post-Secondary education in Business Administration, HR or equivalent combination of education and experience
- Friendly and professional nature with forward thinking and positive attitude
- Excellent communication skills (both written and verbal) and ability to write business correspondence, memos, meeting presentations and take meeting minutes
- Proficient computer skills including but limited to Microsoft Word, PowerPoint, Excel, Outlook and Teams
- Attention to detail, organized and customer orientated
- Comfortable and confident with public speaking
- Basic mathematical skills
- Ability to resolve any challenges in the reception area
- Experience with greeting visitors in person or by phone using a switchboard system
- Ability to problem solve
- Strong ability to follow written or oral instructions

MAIN TASKS & RESPONSIBILITIES
|
- Greet and verify visitors in a professional manner
- Facilitate the visitor/s with connecting with their host
- Responsible for answering incoming calls and directs callers to the correct contact
- Produces and/or types memos, daily correspondence, reports and other documents
- Assists all visitors and contractors with signing in and completing HSE orientations
- Verify, update and maintain contractors database (WSIB, Insurance, Safety Assessments, Contractor Agreements)
- Maintain Mytox safety standards in reception area, copier, lobby, office supply room and kitchen
- Manages office stationary orders at both buildings
- Collects, distribute and at times log mail, messages and faxes accordingly
- Performs a variety of clerical duties as required by Senior Management
- Assist with meeting minutes when required
- Administers the use of company vehicle and assists with company resources (meeting rooms)
- Lead the Employee Suggestion Program (TESS) plant wide
- Assists team members with idea enters during weekly plant walks
- Run and submit monthly TESS rewards report
- Present employee suggestion results in Monthly Employee Meeting
- Organizes local and international travel for business travel
- Collaborate with the HR team to plan off site and employee events
- Update and maintain manifest log (soft copy on P-Drive and hardcopy in the binder)
- Assist when required of updating and maintaining workplace inspection report and tracking sheet (soft copy on P-Drive and hardcopy in the binder)
- Assist when requires of updating and maintaining safety talk attendance sheet and tracking sheet (soft copy on P-Drive and hardcopy in the binder)
- Update and maintain HSE communication log (soft copy on P-Drive and hardcopy in the binder)
- Performs all job functions abiding by the office/work standards, policies and procedures as outlined in the company handbook.
- Performs all job functions in alignment with IATF 16949 quality management standards and ISO 14001
- Actively participates in continuous improvement
- Maintain 5S standards in working environment
- Attend training based on Mytox’s internal training matrix
- Performs all job functions in a safe, healthful and environmentally conscious manner, abiding by all health, safety and environment rules and regulations as outlined in the company handbook
- Performs other duties as assigned or any reasonable request by management.
