Role Summary

  • Provides administrative support to the Human Resources Department in all areas including employee relations, staffing, training, contractor compliance, and filing.  Maintains accurate records, personnel files and the Human Resources database.  Assists in carrying out policies and procedures in all areas of Human Resources while maintaining confidentiality and accuracy of appropriate documentation.

Key Qualifications/Requirements

  • Minimum 1-2 years experience in adminsitrative field
  • Post Secondary/College diploma in Human Resources Management or related discipline preferred.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook) 
  • Exceptional organizational and communication skills.
  • Previous experience in Human Resources Department in an industrial/manufacturing environment is preferred
  • Must be able to work with minimum supervision.
  • Must have the ability to meet deadlines and prioritize a heavy workload
  • Excellent command of the English Language both written and verbal. 
  • Professional, friendly and exceptional interpersonal skills (written, verbal, listening)
  • Able to recognize the position as one of a highly trusted and confidential nature
  • Must be a self-starter, team player and an active listener

Key Responsibilities

  • Assist HR Manager with all departmental/Human Resource administrative functions 
  • Maintain confidentiality and accuracy of appropriate documentation throughout employment history for all employees 
  • All administrative functions related to the Production/HR departments (including Health, Safety and Environmental)
  • Prepare letters, memos and other documents as needed
  • Assist in the preparation of presentation material for regular monthly employee meetings and HR meetings
  • Champion communication processes by maintaining communication boards, updating TVs, as well as creating employee meeting content and monthly newsletter
  • Assist with event planning for social events (company BBQs, Picnic, Luncheons etc.)
  • Manage the internal engagement program (CVL) and update the team scores in SharePoint
  • Update existing training matrix and maintain training documents on file – coordinate the successful implementation of SharePoint Training Database from existing training matrix.
  • Coordinate and schedule Annual Hearing Tests
  • Assist with the administration of temporary employees ensuring proper documentation request prior to coordinating.

Key Responsibilities 2

  • Maintains temporary employee roster, ensuring temp employees are replaced every 12 months and performance reviews are complete.
  • Responsible for administratively updating Human Resources Forms
  • Manage and ensure all annual and probationary performance reviews are completed
  • Assist with preparation for all HR and HSE Audits
  • Ensure compliance with IATF16949 and ISO14001 by adhering to work instructions and maintaining accurate records
  • Provides back-up support for LPA/ I3A Audit and Suggestions
  • Prepare work instructions as needed
  • Greet visitors, contractors/subcontractors using appropriate sign in procedures and contact appropriate MSM individuals.Maintains the contractor database while ensuring contractor compliance.
  • Answer and direct incoming phone calls and take phone messages as necessary
  • Maintain accurate knowledge of fax and photocopier systems; perform minor service and troubleshooting; source; maintain product inventory per machine and instruct others, as required
  • Prepare outgoing mail, faxes and courier packages; order supplier as necessaryMonitor inventory levels on all stationeries and order supplies as necessary (business cards, letterhead, forms, etc.)
